The Onassis Foundation is looking for an exceptional, highly organized and discreet professional to join its team as an Executive Assistant to the Head of Fashion.

He/She will serve as a key partner to the Head of Fashion, providing comprehensive executive, administrative, and project support, contributing to the successful planning and delivery of fashion, creative, and cultural projects. The role combines high-level executive assistance with project coordination and requires sound judgment, exceptional attention to detail, and the ability to manage multiple priorities within a dynamic, international, and fast-paced cultural environment.

 Main responsibilities:

  • Provide comprehensive day-to-day support to the Head of Fashion, including the management of a complex and frequently changing calendar, meetings, correspondence, appointments, and priorities
  • Manage incoming communications with discretion and sound judgment, ensuring that important matters, decisions, and action points are prioritized and followed through
  • Coordinate internal and external meetings and prepare presentations, briefing documents, schedules, and other supporting materials
  • Support the planning, development, production, and execution of fashion, creative, and cultural projects, coordinating timelines, deliverables, documentation, and communication among internal teams and external collaborators
  • Work closely with the Foundation’s Finance, Accounting, Procurement, and Legal teams, supporting purchase orders, invoices, expense reports, reimbursements, contracts, and other financial and administrative processes
  • Organize complex domestic and international travel arrangements, including flights, accommodation, transportation, itineraries, reservations, and last-minute changes
  • Coordinate the hospitality of international guests, designers, artists, collaborators, and VIP visitors, ensuring that all arrangements are delivered to a high standard
  • Maintain organized project records, schedules, contact databases, and documentation, while monitoring deadlines, commitments, dependencies, and outstanding actions across multiple projects

Requirements:

  • Bachelor’s degree in Business Administration, Cultural Management, Communications, Project Management, or another relevant field
  • At least 5 years of relevant professional experience in executive support, project coordination, production, or a similar role, including experience supporting a senior executive and coordinating multiple projects, stakeholders, and deadlines
  • Hands-on experience with administrative and financial processes, including expenses, invoices, purchase orders, reimbursements, and budget-related documentation
  • Experience managing complex calendars, meetings, domestic and international travel, and hospitality arrangements
  • Excellent command of Greek and English, both written and verbal; knowledge of additional languages would be considered an advantage
  • Proficiency in Microsoft Office Suite, with strong PowerPoint and presentation skills
  • Strong understanding of and genuine interest in fashion, contemporary culture, art, and the international creative landscape
